Production Manager

We are seeking a highly organized and detail-oriented Production Manager to oversee and manage all print products and mail production. The Production Manager will maintain relationships with multiple external commercial printing vendors and coordinate with them to ensure timely production of products and mail to meet client deadlines. The Production Manager will also manage pricing of products and services, maintaining internal margins.  The ideal candidate is detail-oriented, can manage multiple priorities and/or projects, has excellent communications skills, and be able to work independently as well as part of a team.

Responsibilities

Print Production and Mail

  • Work with Project Managers and set internal deadlines for print and mail production
  • Maintain master schedule of projects
  • Coordinate production with multiple commercial print vendors
    • Send art files, data files, and instructions for each project
    • Approve final proofs with vendors prior to production
    • Monitor agreed-upon production deadlines with print vendors
    • Confirm with vendors to ensure deadlines are met
    • Track mail with vendors as needed and/or requested
    • Verify vendor costs
    • Map out mail volume during election season; calculate which vendors get what work; maintain schedules with multiple vendors
  • Maintain primary vendor relationships on a consistent basis
  • Problem solve with vendors if issues arise

Product and Services Pricing

  • Maintain up-to-date rate sheets from multiple vendors for a variety of products and services
  • Provide print, mail, texting, and other services pricing to internal staff and ensure margins are met
  • Work with Client Leads and Project Managers to price various campaign elements
  • Stay informed of USPS Postage increases
  • Stay informed of current freight/drop shipping estimates

Financial

  • Coordinate with accounting to ensure all invoices sent to clients are based on price estimates and accurate
  • Coordinate with accounting and Project Managers that all pricing in proposals sent to clients is accurate
  • Coordinate with accounting to ensure vendor invoices are applied to each project accurately

Qualifications:

  • Preferred Bachelor’s degree in Business, Marketing, or a related field; or equivalent experience.
  • Minimum of 5 years in a production management role, preferably within the direct mail or print industry.
  • Proven track record in managing high-volume, deadline-driven projects.
  • Strong understanding of direct mail production processes, printing techniques, and postal regulations.
  • Excellent organizational and communication skills.
  • Proficiency in Microsoft Office Suite, Excel
  • Ability to work in a deadline-oriented environment and manage multiple projects simultaneously.
